vs Mindbody
Mindbody is the biggest name in studio software and it is genuinely more mature than we are. It also runs a consumer marketplace that sends bookings to studios — something we have nothing like and are not building. So read this page for the trade, not for a verdict: you give up a demand channel and years of accumulated features, and you get your own brand on every surface, your own Stripe account holding the money, one flat monthly fee, and an importer that actually reads your Mindbody export.
01 — Side by side
The honest table.
| Category | Eco Systems CRM | Mindbody |
|---|---|---|
| Scope & maturity | Newer and narrower. Schedule, booking, packs, memberships, POS, appointments, payroll, and 14 reports — built for one studio or a small group, by operators running their own. | Far broader and far older: spas, salons, and wellness as well as fitness, with an add-on catalogue, AI concierge, insurance, and financing. Genuinely more feature-complete. |
| Consumer marketplace | None. We have no app where strangers browse studios. Your demand comes from your own channels. | Its biggest advantage. The Mindbody app is a real acquisition channel; Mindbody cites millions of active consumers on it. |
| Cost of that channel | n/a — there is no commission line, because there is no marketplace. | Per Mindbody's own pricing page, new-client acquisition through the app costs 20% capped at $30, charged on the first purchase only. |
| Whose brand | Yours, everywhere: your subdomain, your logo and colours on the member app, the kiosk, the public schedule at /book, the embeddable schedule widget, and the texts. | Core booking runs in Mindbody-branded surfaces; a branded member app is a paid add-on on lower tiers. |
| Who holds the money | You do. Stripe Connect on your own Stripe account — direct charges, Checkout, and Terminal. Payouts, refunds, and disputes are visible in your dashboard. | Payments are processed through Mindbody's stack; card rates are part of the deal you sign. |
| Pricing transparency | Published: $200/mo flat + one-time $500 setup & migration, 5,000 texts included, 2¢ after. No per-location multiplier, no app add-on. | An entry tier is published per location; the tiers most studios actually buy are quote-only through sales, and several capabilities are priced as add-ons. |
| Contract | Month to month. Cancel any time, export everything. | Term length is part of the quote rather than something you read off a page before you talk to anyone. |
| Getting your data in | A real Mindbody importer: clients, remaining pack and credit balances, and the class schedule, with a dry-run pass first. | Exports exist; getting them into a competitor is your problem, and departure paperwork is a common complaint theme in public reviews. |
Mindbody details above are taken from Mindbody's own published pricing page as of September 2026; figures reported by third-party review sites vary widely and are deliberately not quoted here. Spot something out of date? Email [email protected] and we'll fix it.
02 — Fair is fair
What Mindbody has that we don't
Start with the marketplace, because it is the only item on this page that a feature list can't answer. Mindbody's consumer app is a place where someone who has never heard of your studio goes looking for a Tuesday 6pm class and finds you. That is distribution, and distribution is hard. We do not have it. If a real share of your first-time clients arrive that way, a switch costs you those people, and no amount of white-labelling makes that back.
Then there is plain maturity. Mindbody has been at this for two decades across fitness, spa, salon, and wellness, and it shows: deeper retail and inventory, an add-on catalogue, staff-side tooling for businesses much larger than ours, insurance and financing products, and an integration ecosystem we can't match. If you run six locations with a full front-desk org chart, they have solved problems we have not met yet.
The reasonable read: Mindbody is the safer buy for a studio that wants the biggest vendor and values the app listing. We are the better buy for a studio that wants to own the brand and the bank account, and pay one number.
03 — Where we win
No cut, no co-branding, no per-location multiplier.
The marketplace has a price, and it is a percentage of new business plus a member relationship that starts inside someone else's app. With Eco Systems there is no percentage, because there is nothing to take a percentage of: your member app lives on your subdomain with your logo, the public schedule is server-rendered at your own /book page, and there is a schedule widget you can drop into an existing site. A client who books with you is a client of yours, in your list, reachable from your number.
Money works the same way. Card payments run through Stripe Connect on your Stripe account — direct charges for pack and membership purchases, Stripe Checkout for the web flow, Stripe Terminal at the desk. Settlement, refunds, and disputes land in a dashboard you already own. Until a studio connects Stripe, booking simply runs in free mode: no plans, no packs, no payment gate, so you can pilot the schedule before wiring money at all.
And the operating machinery underneath is the part studios actually feel: credit packs with family wallets and a ledger that cannot go negative, waitlists that only charge at promotion, standing reservations, class reminders at 24 and 2 hours, appointments, a front-desk POS with a till count that reconciles to float plus cash sales minus cash refunds, tiered instructor pay with a payroll CSV, and fourteen reports that all export. When a class capacity goes up, open seats fill from the waitlist by themselves. When the teacher changes, the people booked in get told.
Flat pricing is the last piece. $200/mo with 5,000 texts included, 2¢ a text after, $500 once for setup and migration, month to month. That number does not move when you add a second room, a branded app, or a marketing tool — because those aren't add-ons here.
04 — Switching cost
The migration is the whole objection, so we built for it.
Nobody stays on a platform they dislike because they like it. They stay because the thought of moving five years of clients, half-used ten-packs, and a live schedule is worse. So the importer is a real piece of the product, not a services promise: it reads a Mindbody export and brings across clients, remaining pack and credit balances, and the class schedule — and it runs in dry-run first, which prints what would be written and what it would reject, before a single row lands. You get to look at the diff and say no.
Two honest notes. First, balances are the thing to check line by line, because a half-used pack is money you already took and a client will notice to the visit. Dry-run exists for exactly that argument. Second, marketing consent does not migrate: texting permission collected in another vendor's checkbox arrives as pending, and members opt in again on our side. That is a deliberate choice — carrier A2P registration and TCPA both ask where consent came from, and "the old system said so" is not an answer we're willing to give on your behalf. More on how we handle that in SMS marketing and in what actually breaks in a platform migration.
Running a gym or box rather than a class studio? The same engine adds a leads funnel, paid-in-full terms, and door check-in — see Eco Systems for gyms or the closer fight, vs Zen Planner.
05 — Questions
Straight answers.
Can you actually import my Mindbody data?
Yes. We have a built importer for Mindbody exports that brings in clients, remaining pack and credit balances, and your class schedule. It runs in dry-run mode first, so you see the row counts and the rejects before anything is written. One thing it deliberately does not import is marketing consent: texting permission you collected inside another platform arrives as pending, and members opt in again on our side.
Do I lose the Mindbody app listing if I switch?
Yes, and that is the real trade-off on this page. Mindbody's consumer app is a demand channel we do not have and are not building. If a meaningful share of your new clients find you by browsing that app, price that out before you move. If your new clients come from your own Instagram, your neighbourhood, and referrals, you are paying for a marketplace you are not using.
Who holds the money when a client buys a class pack?
You do. Payments run through Stripe Connect on your own Stripe account, so card money settles to your bank on Stripe's schedule and refunds, disputes, and payout timing are yours to see. We never sit between you and your revenue, and we do not take a percentage of it.
What does it cost, and is there a contract?
$200/mo for the platform with 5,000 texts included, 2 cents per text after that, and a one-time $500 setup and migration fee. Month to month, no term commitment. That is the whole published price; there is no branded-app add-on line and no percentage of bookings.
